MHI Compensation: This position is eligible for the MHI $1000 Scholarship. Students who receive an offer for this position will be required to enroll in the Mellon Humanities Internship course to receive the $1000 scholarship disbursement. As referenced in the Student Interest Form that you filled out to sign up for participation in MHI, this scholarship can impact, or be impacted by, other financial aid you receive.
If an internship requires out of pocket costs, students may apply for reimbursement for expenses including background checks, qualifying travel, or equipment. All applications will be reviewed and processed for eligibility. Please contact your departments internship coordinator for more details.
The $1000 scholarship offered for this position is intended to provide financial assistance for the pursuit of your education; it is not compensation for the performance of any services and does not create an employment relationship between the you and the Site.
This position is an experiential learning opportunity and receipt of the scholarship is tied to an academic course (IDS 3947). If you do not complete your registration for the course in a timely manner, your internship offer may be withdrawn, and your department’s Internship Coordinator may notify the host organization that the position has reopened.
Job Description:
The Museum Operations intern will work directly with the Executive Director to strengthen FMoPA's organizational systems and support day-to-day operations across three phases:
Part I — Document Organization & Systems (50 hrs):
The intern will audit and reorganize both FMoPA's digital and physical filing systems. This includes creating a clear, consistent digital filing structure for agreements, contracts, vendor documents and key administrative records, as well as tidying and reorganizing physical filing cabinets to ensure documents are easy to locate and consistently maintained. They will document organizational procedures for future staff reference.
Deliverable: a fully organized digital and physical filing system with a documented process guide.
Part II — Grant Support (50 hrs):
The intern will assist with research, data gathering and formatting for active grant applications and reports. Tasks include researching grant opportunities, compiling program statistics, drafting narrative sections and formatting submission materials.
Deliverable: completed research files and formatted supporting materials for at least two grant applications or reports.
Part III — Event & Administrative Support (50 hrs):
The intern will support logistics and coordination for upcoming museum events, including vendor communication, RSVP tracking, run-of-show preparation and post-event reporting. They will also assist with general administrative tasks including drafting correspondence and supporting staff across departments.
Deliverable: event support documentation and a post-event summary report.
Qualifications
-Strong organizational and written communication skills
-Detail-oriented with ability to manage multiple tasks
-Proficiency in Google Workspace (Docs, Sheets, Drive)
-Interest in nonprofit or cultural organization management
-Experience with project management software such as Asana a plus but not required
Schedule
● Up to 10 hours per week, on-site only.
● Must be available on specific weekdays, to be determined during the interview process, to align with the Curator and Exhibitions Manager schedules, and installation schedules.
